About the role

We are looking for a Marketing Associate Assistant to support our Gastro Team. This is a varied, high-volume role at the centre of a fast-paced business unit, with responsibility for helping the team run smoothly and deliver its priorities. You’ll support the team’s budget and event coordination, help manage day-to-day operations, and contribute to marketing materials and compliance processes. You’ll work with colleagues across the brand, field and medical teams, gaining exposure to a range of business activities and brand workstreams. You’ll also have the opportunity to take ownership of day-to-day operations, improve processes and contribute to a supportive, high-performing team. The role may suit someone looking to build experience in pharmaceutical marketing, as well as someone with relevant experience who is ready to bring their own ideas and approach to the position. Key Responsibilities • Budget & Financial Ownership:  Take full ownership of the financial administration process. Accurately plot and record Marketing (PromoMats/IFT) and Vendor spend, efficiently raise SOWs, and POs, and track invoices to ensure the team has a clear, accurate view of the budget. • Event Execution:  Work closely with the Brand team to bring their visions for internal and external events to life. Manage logistics, venue bookings, and hospitality, and attend events to ensure excellence in execution. • Team Operations & Leadership Support:  Serve as the day-to-day anchor for the team. Support the Business Unit Manager and Brand Team with complex diary management, meeting coordination, capturing actionable minutes, and anticipating operational challenges before they arise. • HCP & Agency Liaison:  Collaborate with the Professional Relationship Manager to facilitate HCP support for AbbVie conferences. Confidently manage PSA contracting for individual HCPs, arrange payments, and liaise with agencies on engagement documentation. • Material Management:  Support the marketing team with internal compliance processes and systems (such as PromoMats and MAP), assist with the withdrawal of materials, and ensure audit readiness. Fast learners will be fully supported in onboarding to all industry systems we utilise. • Culture & Onboarding:  Champion team culture by coordinating the seamless onboarding of new members, ensuring they have their materials, meeting schedules, and feel deeply supported from day one. • Bachelor’s degree in science or life sciences, or equivalent relevant professional experience. • Additional marketing qualifications are an advantage but are not essential. What You’ll Bring • Strong organisational skills and the ability to manage multiple priorities, projects and deadlines. • Clear, confident communication skills and the ability to build effective relationships across teams. • Sound judgement in prioritising requests and keeping work on track in a changing environment. • A proactive approach to improving processes and finding practical solutions. • Professionalism, accountability, curiosity and a commitment to learning and continuous improvement.
