About the role

Salary: • PLN 24.000-30.000 (B2B); or • PLN 19.900-24.900 gross (Employment Contract). Your tasks and responsibilities: • Process audit with stakeholders from Sales, Finance, Delivery and People teams. Identifying inefficiencies, redundancies and opportunities for improvement. • End-to-end mapping and optimization of key business processes, with particular focus on the sales process and deciding which Salesforce functions will be taken over by other systems as part of its replacement. • Assessment of the existing systems landscape and defining which functionalities should be retained, replaced, consolidated or discontinued. • Mapping data flows between HubSpot, Salesforce, Productive, PeopleForce, enova and NG OS internally developed systems , including points of manual re-entry. • Defining the source of truth for key data: client, deal, project, person, rate, working time, invoice. • Gathering requirements for integrations, process improvements and new features, and their prioritization, agreed with tool owners and internal development teams . • Oversight of system migrations and consolidation, including the migration from PeopleForce to an internally developed platform : requirements, completeness, validation, sign-off. • Program plan and its management: schedule, dependencies, decisions. • Design and delivery of change communication. • Acting as a filter for new process and tool ideas, ensuring alignment with business priorities, operational efficiency and the overall systems architecture. Requirements • 5+ years in transformation, process excellence, PMO or operations at a company of 200–1,000 people. • Fluent English and Polish. • Experience leading cross-functional process optimization and business systems transformation initiatives. • At least one system decommissioning, consolidation or replacement (CRM, PSA, ERP, HRIS), from audit to sign-off. • Designing integrations at the requirements level: master data, sync direction and frequency, error handling. • Writing requirements for an in-house development team and prioritizing the backlog with the product owner. • Data migrations: field mapping, cleansing, validation, GDPR. • Systems thinking and process modeling. • Working with senior stakeholders, including the management board. • Holding to decisions under pressure. • Talking to developers as an equal, without coding. • Program management: schedule, dependencies, decisions. • Change communication. • Clear and concise communication. Nice-to-haves: • HubSpot, Salesforce, Productive, enova . • Integration tools (e.g. Make, Zapier, n8n). • Experience in IT services or a software house. • Experience with internal business platforms and custom-built operational systems. • Using AI in operations.
