About the role
Job Description Responsible For: The Ship Direct Ordering Operations Analyst is responsible for managing supply and distribution programs from order entry through final delivery and invoicing. This role ensures service level commitments, customer satisfaction, supply chain continuity, and operational efficiency through proactive data analysis, customer support, supplier management, and cross-functional coordination. Main Responsibilities and Activities • Manage the end-to-end Ship Direct ordering process, ensuring timely order fulfillment, delivery performance, and invoicing accuracy. • Monitor open orders, delivery commitments, ETA performance, and backorder situations, driving corrective actions when required. • Collaborate with suppliers, carriers, distributors, manufacturing plants, and internal stakeholders to resolve operational issues and service disruptions. • Investigate and address customer inquiries, claims, and operational escalations while maintaining high service levels. • Validate and reconcile E-Coat invoices against purchase orders, shipment documentation, pricing, quantities, and SAP records. • Coordinate the resolution of invoice discrepancies with suppliers, Purchasing, Finance, and manufacturing teams to ensure timely processing and payment. • Maintain visibility of operational risks, outstanding issues, and critical cases, providing proactive communication and escalation when necessary. • Develop, maintain, and enhance operational dashboards and performance reports to support business decision-making. • Analyze order, delivery, inventory, and invoicing data to identify trends, risks, and opportunities for process improvement. • Automate recurring reporting and operational processes using Excel, SQL, Databricks, Power Query, Power BI, and other approved tools. • Translate data into actionable insights and recommendations for Operations, Supply Chain, Purchasing, Finance, and Sales teams. • Support month-end activities and deliver accurate reporting to leadership and key stakeholders. • Drive continuous improvement initiatives focused on operational efficiency, data quality, process standardization, and customer satisfaction. Required Qualifications • Bachelor's degree in Industrial Engineering, Supply Chain, Logistics, Information Systems, Business Analytics, or any related field. • 1+ years of experience any related field. • Intermediate English proficiency. • Advanced Microsoft Excel skills, including data analysis and reporting. • Experience with SQL, MySQL, Databricks, Power BI, or similar analytics tools. • Experience developing dashboards, reports, and process automation solutions. • Strong customer focus and ability to effectively manage relationships with internal and external stakeholders. • Proven problem-solving skills with the ability to drive issues to resolution. • Knowledge of supply chain, distribution, logistics, or order fulfillment processes. Preferred Qualifications • Strong analytical skills with the ability to interpret data, identify trends, and support business decision-making. • Experience managing multiple priorities in a fast-paced environment. • Strong customer focus and ability to effectively manage relationships with internal and external stakeholders. • Effective verbal and written communication skills. • Certifications in Power BI, Data Analytics, Supply Chain, or related disciplines.
